Project Completion Email Template
Handover email with deliverables and final invoice. Example: 'Your new logo files are attached in PNG, SVG, and AI formats...'
What a handover email should carry
- A one-line statement that the project is complete
- Every deliverable listed, with the format each is supplied in
- Where the files are, and how long that link stays live
- Credentials and accounts transferred, and what the client now controls
- What is covered after handover, and for how long
- The final invoice, attached, with its due date
- A single named contact for anything that comes up
Handover is where scope quietly reopens
The completion email is the last moment where the boundary is easy to draw. Once it has been sent without one, every small request afterwards arrives as an assumption rather than a question. Saying plainly what is included for the next thirty days, and that anything beyond it is quoted separately, is not unfriendly — it is the thing that lets you say yes to the next project instead of servicing this one indefinitely.
- Define what a defect is and what a change is, in one sentence each
- Give the support window a date, not a vague “let me know if anything comes up”
- Ask for the testimonial or referral now, while the work is fresh and they are pleased
Making the files actually usable
- Supply working files as well as exports where the agreement includes them
- Name files so they make sense to someone who was not on the project
- Include a short note on how to use or update the work, rather than assuming
