Reservation Confirmation Template
Booking confirmation with details. Example: 'Confirmed: Table for 6 on Saturday 7pm. Please arrive 10 mins early.'
What a booking confirmation should state
- Date, day, time and party size, together in one line
- The venue address, with a note on parking or the nearest entrance
- The name the booking is held under and the booking reference
- How long the table is held before it is released
- Any deposit taken, and the cancellation terms
- Dietary requirements you have recorded, so they can be corrected
- One tap to change or cancel
Confirmations exist to reduce no-shows, not to be polite
A confirmation is the cheapest no-show prevention a venue has, and it works best when cancelling is genuinely easy. Counter-intuitively, making cancellation frictionless increases revenue: a table released at 3pm gets re-sold, and a table nobody could cancel simply stays empty at 7pm.
- Send a confirmation at booking and a reminder on the day
- Put the cancellation link at the top, not buried at the bottom
- State the grace period, so a late guest knows whether to call
Large groups and events
- Confirm final numbers by a stated date for groups above a threshold
- Take a deposit on large bookings and say what it is credited against
- Repeat any pre-order or set menu back to them in writing
