Press Release Template
Company announcement format. Example: 'FOR IMMEDIATE RELEASE: [Company] Launches New Product...'
What a press release must contain
- A headline that states the news in plain language, without adjectives
- The city and date on the first line
- The complete story in the first paragraph — who, what, when, where, why
- Supporting detail in descending order of importance
- One or two quotes, attributed by full name and title
- A short, factual boilerplate about the company
- Media contact with a name, a direct phone number and an email that is monitored
- A note on available images or interviews
Journalists read the first paragraph and stop
A press release is not persuasion, it is supply. The recipient is deciding in a few seconds whether there is a story, and if the first paragraph contains positioning rather than facts, there is nothing to decide. The releases that get used read like the article the journalist would have to write anyway — which is exactly why they get used.
- Cut every adjective in the headline; “revolutionary” is a signal to stop reading
- Put the number, the date or the name that makes it news in the first sentence
- Make the quote say something a person would actually say, or leave it out
Before you send it
- Send it to named journalists who cover this specific area, not to a generic newsroom address
- Have images ready at publication resolution before you pitch, not after someone asks
- Make sure the contact is actually available on the day — a missed callback kills the story
