Freelancer Proposal Email Template
Project proposal email with scope overview. Example: 'Following our call, here's my proposal for your website redesign...'
What a proposal email should do in order
- Reference the conversation you actually had, specifically enough that it could not be a template
- Restate the problem in their words before proposing anything
- Set out the scope as a short list of deliverables
- Name the price, in the body of the email, not only in an attachment
- State the timeline, and what you need from them to hit it
- Say what is not included
- Close with one clear action and a date the proposal expires
Put the price in the email
Proposals that hide the number inside a PDF get forwarded to someone who never opens the PDF. The email is what circulates internally; if it does not contain the price, the scope and the timeline, the decision gets made without them. An attachment is useful for detail — it is not where the commercial terms should live.
- Keep it under about 300 words; the detail belongs in the attachment, the decision belongs in the email
- Offer a smaller first phase where the budget is uncertain, rather than discounting the whole thing
- Put an expiry on it, so following up is a reason rather than a nag
After you send it
- Follow up once, about a week later, with something useful rather than “just checking in”
- If they go quiet after a positive call, the blocker is usually internal — ask who else needs to see it
- Quote your ABN when the work is confirmed, or the client must withhold tax at the top rate
