Web Developer Invoice Template
Invoice for website projects with hourly rate, project milestones, and hosting fees. Example: 40hrs @ $85/hr for e-commerce site build.
What a web development invoice should break out
- The project and the milestone being invoiced
- Build work, with hours and rate, or the fixed milestone amount
- Third-party costs passed through: domains, hosting, licences, paid plugins
- Recurring fees separately from one-off build work
- What is handed over at this milestone, and what remains outstanding
- When intellectual property and access credentials transfer
- Your ABN, GST and payment terms
Separating the build from the things that renew
A web invoice usually contains two different kinds of money: work you did once, and subscriptions that will arrive again next year whether anyone plans for them or not. Clients who are not shown the difference budget for the first and are surprised by the second, which is how a good project ends badly twelve months later.
- List every renewing cost with its renewal date and who holds the account
- Mark pass-through costs as pass-through, at cost, so your margin is not mistaken for a markup on hosting
- Say explicitly that IP and credentials transfer on final payment, if that is your term
Milestones and scope
- Invoice on delivery of each milestone rather than at the end of the project
- Treat “can we just add” as a variation with a price, every time
- Get sign-off on each milestone before starting the next, in writing
