Consultant Invoice Template
Consulting invoice with hourly/daily rates. Example: Strategy consultation 8hrs @ $150/hr = $1,200.
What a consulting invoice should contain
- The engagement or project name the client knows it by, and the purchase order number if there is one
- The period covered, stated as dates rather than “this month”
- Hours or days by workstream, with the rate applied to each
- A one-line description of what each block of time produced
- Expenses separately, at cost, with receipts available on request
- Your ABN, the words “Tax invoice” where you are registered, and GST shown separately
- Payment terms and bank details
Why time-based invoices get queried and fixed-fee ones do not
A client who agreed a rate still experiences an hourly invoice as a surprise, because they were never tracking the hours. The fix is not more detail — a 40-line timesheet invites more argument, not less. It is a short description of the outcome beside each block of time, so the invoice reads as a record of work delivered rather than a meter reading.
- Group time by deliverable, not by day
- Flag when you are approaching an agreed cap, in writing, before you pass it
- If you did not quote an ABN, expect the client to withhold at the top rate — quote it
If you are engaged through a labour hire or managed services portal
- Match their reference number exactly or the invoice will sit unmatched
- Check whether they self-bill — sending your own invoice as well creates duplicates
- Confirm their payment run dates; “net 30” often means the run after day 30
