What an air conditioning service invoice should record

The site address and the unit serviced, by make, model and serial or asset number
The service performed, and whether it was routine, repair or warranty
Refrigerant added or recovered, by type and quantity
Your refrigerant handling licence number where the work required one
Parts and labour separately, with any part warranty period noted
Faults found and not rectified, and what you recommended
Your ABN, GST and payment terms

The invoice becomes the maintenance history

Nobody keeps HVAC service invoices for accounting reasons. They get pulled out when a compressor fails at four years old and somebody asks whether it was serviced, or when a building changes hands and the buyer wants a maintenance record. If the invoice does not identify the unit, it proves nothing about that unit.

Always identify the physical unit, not just the address — a site may have six
Record refrigerant movements accurately; handling is regulated and the log matters
Write the recommendation down even when the customer declines it
