Wholesale Order Invoice Template
Bulk order invoice with quantity discounts. Example: 500 units @ $12 each, 10% volume discount = $5,400.
What a bulk order invoice should contain
- The purchase order number, which most wholesale buyers will not pay without
- Each line by SKU, with quantity, unit price and extended total
- Volume discounts shown as a calculated line, not folded into the unit price
- The delivery address, if it differs from the billing address
- Freight, and who bears it under your terms
- Backordered lines identified as backordered, not omitted
- Payment terms, early settlement discount if offered, and your bank details
Wholesale invoices are matched, not read
A wholesale buyer’s system does a three-way match: purchase order, goods received note, invoice. If any of the three disagree on quantity, SKU or price, the invoice stops. Nobody emails you about it. It simply does not appear in the payment run, and you find out at 60 days when you chase.
- Invoice exactly what was shipped — never the order — and credit shortfalls properly
- Use the buyer’s SKU where they have given you one, alongside your own
- Keep the PO number in a field their system reads, not only in the body text
Terms and exposure
- Agree credit terms in writing before the first order, not after the first late payment
- Apply a credit limit and act the first time it is exceeded
- Retain title to goods until payment where your terms allow, and say so on the invoice
