Corporate Account Invoice Template
Monthly corporate dining invoice. Example: ABC Corp - 47 meals in January = $1,645.
What a monthly account invoice needs
- The account name and account number the client uses internally
- The statement period, with opening and closing balances
- Each transaction dated, with who signed for it or which cost centre it was charged to
- A subtotal per cost centre or department, if the client allocates internally
- Any account discount applied, shown as its own line
- GST and the total now due
- Payment terms and the remittance details
Invoicing an accounts payable department rather than a person
A corporate account is paid by someone who was not there and has no way to verify the detail. Their job is to match your invoice to a purchase order and a cost centre. Anything that stops that match — a missing PO number, a total that does not agree with the sum of the lines, a period that straddles their month end — puts your invoice in a query pile that nobody is watching.
- Cut the statement on their month end, not yours, if they ask you to
- Carry the PO number in the invoice header where their system will read it
- Send it to the accounts inbox as well as your contact, or it will wait for them to forward it
Keeping an account from silently ageing
- Reconcile the account monthly rather than chasing at 90 days
- Agree a credit limit in writing and act on it the first time it is passed
- Put a named contact on your side on the invoice, so a query has somewhere to go
