Payment Reminder Template
Overdue invoice reminder - friendly tone. Example: 'Just a reminder that invoice #1234 is now 7 days overdue.'
What a payment reminder should include
- The invoice number, date and amount — in the subject line, not just the body
- How many days overdue it is
- The original due date, so the timeline is not arguable
- Payment details repeated in full, so nobody has to find the original email
- A copy of the invoice attached again
- A specific request: pay by a named date, or tell us when to expect it
- A named human to reply to
Escalate on a schedule, not on how annoyed you feel
The businesses that get paid are not the ones with the sharpest wording — they are the ones with a predictable sequence. A courteous note at seven days, a firmer one at fourteen, a phone call at twenty-one, and a formal letter at thirty works better than one furious email at sixty, because it reaches the invoice while it is still in someone’s queue rather than in their archive.
- Keep the first reminder genuinely friendly — most late invoices are administrative, not deliberate
- Phone at the third step; email is easy to ignore and a call is not
- Ask for a date rather than for payment — a commitment you can follow up beats a request you cannot
Where you stand legally
- You may charge interest on overdue amounts only if your terms said so before the work — check what your terms actually say
- Keep the correspondence; it is what supports a claim if it ever goes that far
- If nothing works, a letter of demand is the usual next step before small claims — the thresholds and forms vary by state
