What a property maintenance quote should itemise
- The property address, and access arrangements
- Each item of work as its own line with its own price, so items can be approved individually
- Materials specified by type and grade — “treated pine” rather than “timber”
- What is excluded: rubbish removal, making good, painting after repair
- Assumptions the price depends on, such as access, weather, or existing condition
- The expected duration and likely start window
- How long the quote stays open
- Your licence number and insurance position
Price each item separately or the client will cut the whole job
A single figure for a list of jobs forces a yes-or-no decision, and a client with a tight month says no to all of it. Line-by-line pricing lets them approve the gutter clean now and the deck in spring, which is more work for you than the all-or-nothing version and a better experience for them.
- Number the items so approval can come back as “items 1, 2 and 4”
- Flag anything that will get worse if deferred, with a sentence on why
- State what you have not been able to inspect, and that the price may change if it is worse than it looks
Converting a quote
- Follow up once, a week out, then let it sit — chasing repeatedly costs the job
- Re-price rather than honour a quote that has been sitting for months if material costs have moved
- Put the quote number on the resulting invoice so the client can match them
